Strategy timeline

12-18 months away from the event, create your strategy to define your night’s core purpose. Then set a realistic budget, including contingencies. After this, it’s time to choose your date. And finally, all that’s left to do is to start scouting iconic Brisbane venues before you lock in your venue contract!

3 months away from your event, now that you’ve chosen your venue and date, it’s time to finalise your guest list so that you can send out formal invitations. If you’re holding an awards ceremony, you should also close your awards nominations at this time. You also need to lock in your keynote speakers or choose your entertainment options.

1 month out is the time to talk with the venue about dietary requirements. You also need to sign off on the event’s minute-by-minute run sheet. Lastly, schedule your technical audiovisual rehearsals, whether the venue’s system is a simple microphone or a high-tech wall-to-wall screen.

Choosing your Brisbane venue

Content capture: It’s a good idea to hire a professional events photographer and videographer to capture audience reactions and produce highlight reels for post-event PR.

 

Back-of-house & production logistics

The venue’s loading dock and backstage layout can significantly affect your event’s timing.

For your large-scale event, the loading dock should feature direct access to the main room. Alternatively, a high-capacity goods lift could also work. If the venue’s loading access is too restrictive, your crew’s loading times and your costs will skyrocket.

You should also look for a venue with dedicated green rooms or another small space near the main stage. After all, your keynote speakers, MC, and VIP presenters will need a peaceful space to prepare and practice, change clothes, and hang out away from the main crowd until it’s time for them to go on.

 

Food & beverage service infrastructure

Getting food out to hundreds of guests while maintaining your strict awards run sheet means industrial precision.
